Position Overview
This role is responsible for providing clerical support to faulty, students and staff in the Graduate Program in Prosthodontics. By providing front desk service to patients, maintaining appointments, preparing reports, and entering information into systems, this role will ensure the clinic functions efficiently and effectively.
Duties and Responsibilities
1. Manage the reception and patient records area of the department.
2. Answer phone calls being responsive to queries, questions, and complaints and directing unresolved complaints to the appropriate person(s).
3. Maintain Central Appointment System. Schedule and confirm appointments, maintain a short call list to accommodate for cancellation and failed appointments.
4. Accurate entry of patient insurance for both private and state. Verification of active coverage for state insurance at each appointment. Verify pre-authorization is valid on date of service.
5. Prepare any reports regarding resident productivity as requested by the Director.
6. Daily review of treatment notes and treatment provided by residents/students for accurate entry in axiUm.
7. Coordinate with Patient Financial Services for pre-authorizations as needed.
8. Conduct orientation for new residents regarding clinic operations and MUSoD clinical protocol.
9. Coordinate the record review process with residents on a monthly basis and print out all unapproved treatment notes to have faculty approve in the computer.
10. Word process routine and confidential documents, correspondence, reports, meeting minutes, syllabus, course material and schedules.
11. Copy lecture materials and other documents
12. Assist faculty with course administration including: request and compile reports; record and calculate clinical, laboratory and lecture grades.
13. Maintain computerized and manual files including student evaluations and grades; course materials; and faculty files.
14. Maintain and order office supplies using the MU Dental Store procedure
15. Perform other duties and responsibilities as required, assigned, or requested.
Required Knowledge, Skills and Abilities
• High school education
• Two years of relevant experience in one of the following: Dental office work, including receptionist duties, dental insurance processing, or other healthcare experience deemed appropriate by the Director.
• Must possess excellent oral/written communication skills, courteous demeanor, attention to detail, flexibility, ability to work and communicate with people from a diverse population and the ability to work independently with little supervision and constant interruptions in an environment that can be stressful at times.
• Ability to access/retrieve and transport patient records throughout the clinic is required.
• Proficiency in other languages may be required.
• This is a computer workstation job with normal office related physical demands, including constant use of the telephone.
• While performing the duties of this job, the employee is regularly required to sit or stand, walk, bend, climb stairs, reach, grasp for objects and fine manipulation.
• The employee must occasionally lift and/or move up to 20-30 pounds.
